EU Project Delivered Under Extreme Time Pressure

Most of our clients are based across different regions creating challenges around currencies, different tax rates and laws, import and export challenges, the list goes on. This client is based in the EU and UK, with offices across Europe, the Americas, Africa and APAC and approached Viadex with the challenge of delivering and implementing a complete solution to key locations across the EU.

The extremely tight timeline of 2 weeks that had to be met for both delivery and the implementation of the solution on-site to their chosen data centers was tackled by the Viadex team using a set of our Global Project Services to tailor the solution for the client. The client had identified that they had neither the skillset internally nor the knowledge of the different destination country tax, import, export, and licensing laws that were an integral part of the Project and the overarching differentiator is that they did not want to take on the co-ordination between their own sites and multiple suppliers whilst also trying to ensure that the implementation skillsets were aligned across the project.

The greatest obstacle presented was the 2-week delivery timeline expectation from time of initial activation to successful closing of the order. The financial consequences to the client were that if the deadline was missed, they ran the risk of potential lost income in very high numbers as well as market share. Furthermore, the budget assigned to the project was challenged by the extent of the geographical distribution required. Individual deployment to each site indicated a 48% budget overage which was immediately shut down, hence the need for a single provider to manage the Project on their behalf. The input from the Viadex Global Project Services Team resulted in a deployment being created as a single project lead by a single point of contact for all the service providers as well as all the client sites.

Understanding the impact to the client and given the time constraints and stringent deadlines, the solution designed included a dedicated door-to-door road freight solution, ensuring that Viadex had direct communication with the driver. This allowed us to take complete control of the logistics side of the project for every component from start to finish of each journey, including regular updates of each stage through to the delivery to site. Furthermore, a full risk analysis of each delivery was undertaken to ensure that any possibility of unforeseen risk was taken into consideration and plans adjusted to ensure that the deadline was met. Throughout the project Viadex kept our client fully up to date with every delivery, tracking both the individual wins together with the overall project impact.

Using our operational agility, Viadex was able to deliver the project using a tailormade approach enabling a successful delivery installation of the projects – both on time and within budget. Partnering with and managing numerous logistics partners, Viadex is now able to review all existing volumes moving to the EU regions, explore further consolidation opportunities and ultimately reduce the cost of delivering future projects into the EU regions for current and future customers.
